StreetScout ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect information when you use our platform. By creating an account or using StreetScout, you agree to the practices described here.

2. Information We Collect

We collect the following categories of information:

  • Account information: Your name and email address, collected when you create an account.
  • Case and document data: HOA violation notices, response letters, evidence files, and related documents you upload or generate. This data is private to your account and is never shared with other users or third parties.
  • Anonymous neighborhood enforcement data: When you create a case or record an outcome, we automatically derive and store anonymized information such as violation type, fine amount, HOA or association name, general location (state or ZIP-level), rule cited, and enforcement outcome. We strip or generalize identifying details before storage. Your name, address, documents, and other personally identifiable information are not included.
  • Usage data: Basic information about how you interact with the platform (e.g., features used, page visits) to help us improve the service. On our public marketing site, we may use Google Analytics for aggregate traffic measurement when you allow analytics cookies in Cookie preferences.

3. How We Use Your Information

  • To provide the service: Your documents and case data are used exclusively to generate letters and provide AI-assisted analysis for your own cases.
  • To improve neighborhood intelligence features: Anonymous, aggregated enforcement data powers community trend features such as neighborhood fine frequency and HOA enforcement patterns. This data cannot be traced back to any individual user.
  • To communicate with you: We may send transactional emails (e.g., password resets) and, if you opt in, product tips and updates.
  • To maintain security and prevent abuse.

4. Data Sharing and Disclosure

We do not sell your personal information. We may share information only in the following limited circumstances:

  • Service providers: We use trusted third-party services (e.g., Supabase for database hosting, Resend for email delivery, certified mail fulfillment partners, and Google Analytics on our public marketing site when you allow analytics cookies) solely to operate the platform. These providers are contractually bound to protect your data.
  • AI processing: Document analysis and letter generation use AI providers (Anthropic). Documents you upload are transmitted to these services to process your request and are not retained for training purposes beyond what the provider's own terms permit.
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of StreetScout or its users.

5. Your Consent Choices

You have control over how your data is used:

  • Neighborhood enforcement aggregates: Collected automatically as described in Section 2 when you use case features. To request removal of data linked to your account, email privacy@streetscout.ai.
  • Cookie preferences: Use Cookie preferences in the footer to accept or reject analytics and marketing cookies on our public site.
  • Marketing emails: Unsubscribe at any time using the link in any email we send.
  • Account deletion: You may request deletion of your account and associated data by emailing privacy@streetscout.ai. We will delete your personal data within 30 days, except where retention is required by law.

6. Cookies

We use strictly necessary cookies and similar technologies to run sign-in, security, and core product flows. On our public marketing site, you can choose optional cookie categories in the preferences panel (also linked from the footer). We honor Global Privacy Control signals where applicable.

  • Analytics (optional): When allowed, we use Google Analytics to measure aggregate traffic, such as page views and general usage patterns. If you are signed in, we may send an internal account ID (not your email) to connect sessions for analytics.
  • Marketing and personalization (optional): When allowed, we enable Google signals, ads personalization, and related features. If you are signed in, we may send hashed contact information (such as your account email) to Google for conversion and campaign measurement.

If you reject a category, we configure our tags and consent settings so those features stay off. You can change or withdraw consent at any time via Cookie preferences in the site footer.

7. Data Security

We use industry-standard security measures including encryption in transit (TLS), encrypted storage, and row-level security controls to protect your data. Access to user data is restricted to systems and personnel who need it to operate the service.

8. Data Retention

We retain your account and case data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days. Anonymous, aggregated data that has already been incorporated into neighborhood intelligence features is not personally identifiable and may be retained indefinitely.

9. Children's Privacy

StreetScout is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy with a new effective date and, where appropriate, by email. Continued use of the service after changes constitutes acceptance of the updated policy.
